We work with many types of small businesses in the East Midlands and beyond. Each business has different IT requirements, so we decided to share with you how we have helped a local design studio manage their IT systems.

Hardware

Like many design agencies, this company uses a mixture of Windows PC’s in the back office and Apple Macs in the Design Studio. We recently upgraded all the IT infrastructure from their local server through to their client PC’s and iMacs.

The studio now runs a Microsoft Windows 2012 Server to hold shared files etc. We worked closely with the customer designing their network to meet their needs. Following a recent office re-design we implemented new structured cabling and a managed Wireless Solution to give blanket coverage throughout premises.

The back office PC’s now run the latest Microsoft Windows 8.1 operating system and the design studio have latest iMac’s running mavericks.

Rather than an initial large capital expense this customer was able to take advantage of our competitive leasing option. Enabling them to spread the spread the cost over a 36 month period and with the added bonus of them being able to upgrade their systems every three years.

Telephones

Each team member has an IP telephone, which are all run through an IPCortex VoIP system. The system offers flexibility, great call quality and reduced costs compared to running numerous individual phone lines.

Software and Backup

The agency use design software on each Mac, Office 365 for hosted email, word processing and spreadsheets and a bespoke billing/accounting system which is hosted in our UK Cloud environment. We set up our online Cloud Backup Server system to back up the central server regularly – keeping all their business data and artwork safe. By using a hybrid approach to cloud computing we were able to reduce and spread the risk of downtime across different platforms and environments. If a machine fails a new one can be setup quickly and the team can get back to work with minimal delays.

IT Support

While the system runs smoothly day to day, it’s inevitable that some IT help is needed now and then! Our expert team are available by phone and email to help out when required. We also provide proactive maintenance to ensure the agency systems run as efficiently as possible and they can concentrate on designing rather than fighting with their IT.
